Common questions about day of coordination

You can book our coordination service any time after your date and venue are confirmed.
We recommend reaching out early, but the minimum notice we accept is 3 weeks before the wedding day.

We define the coordinators required according to the scope of each event.
Unless your wedding is very small and has a simple flow, we normally suggest hiring two coordinators so that we can better follow every part of your day, including the preparation for what comes next.
If your event involves multiple venues or has complex logistics, we may recommend a third coordinator to manage different locations simultaneously and oversee setup activities

We take care of every detail behind the scenes, so you don’t have to.
This includes:
– Briefing all vendors upon arrival
– Setting up signage, stationery, favors, and final touches
– Cueing the ceremony, coordinating entrances and transitions
– Managing musicians, speeches, cake cutting, first dance
– Ensuring all spaces are prepared before guests arrive
– Keeping the timeline on track
In short: we make sure the entire day flows seamlessly, just as you planned it.

Yes. We schedule a video call two weeks before the wedding to review all the details together.
If you’d prefer to meet in person and visit the venue, we can also arrange a site inspection, quoted separately based on availability.

Yes. Once the service is confirmed, we’ll send you a timeline template that you can fill in and customize. During our final call, we’ll go over it together to align everything and flag any potential issues, so you feel fully prepared.

We’ll ask you to provide all final details three weeks before the wedding, including:
– Vendor contacts and confirmed orders
– Final guest count and any dietary restrictions
– Music choices and special moments
– The final timeline of the day

While the entire planning is on you, we introduce ourselves to the main vendors a few days before the wedding to ensure they’re aligned with the information you’ve provided.
This helps avoid misunderstandings and ensures everyone is on the same page on the day of the event.
